FAQ

Technical answers from practitioners

What is the difference between SAP data archiving and SAP ILM?
Archiving (SARA/ADK) reduces database volumes. ILM adds retention management, data blocking, and controlled destruction. ILM is the governance layer — archiving is part of it.
What is the ILM destruction worklist and direct deletion?
Destruction worklist formally destroys data whose retention expired in WebDAV. Direct deletion archives and immediately deletes without storing — ~80 ILM objects support this for technical data.
How does data blocking work for GDPR?
Retention management blocking for transactional data and simplified blocking for master data. Both restrict access once business purpose ends while retaining for the legal period.
What is the Context Data Extractor (CDE)?
CDE extracts master data, customising data, and metadata from legacy systems into snapshot files. Without CDE, archived transactions lose business context.
Can pre-ILM archive files be converted?
Yes. The ILM file converter brings any ADK file under ILM governance without re-archiving. An active retention rule must exist.
What storage does SAP ILM require?
Structured data: WebDAV certified for ILM. Unstructured: original ArchiveLink storage (ADA, Core Archive, Content Server). SAP IQ also works via Retention Management Storage Option.
Data aging vs archiving in HANA?
Aging: hot to cold partitions within HANA, still SQL-accessible. Archiving: removes from DB entirely to ADK files. Aging targets memory; archiving targets total size. Use both.
Can you decommission non-SAP systems?
Yes. Extract, map to SAP/custom structures, convert to ADK via Data Services, LT, and CDE. Works identically to native archives in the Retention Warehouse.
How does BW archiving work?
BW uses nearline storage on SAP IQ — not ILM. Data partitioned by time, 90% compression, query-accessible through standard BW reports.
What is DART?
Data Retention Tool for tax auditors. Critical for German GDPdU/GoBD. Ensures audit access after archiving or decommissioning.
How long does a typical project take?
Focused archiving: 8–16 weeks. Full ILM: 4–8 months. Decommissioning: 3–12 months. AI cuts 40–60%.
SAP Content Server to OpenText migration?
Full migration: extraction, metadata mapping, ArchiveLink recreation, validation, cutover. All documents stay accessible from SAP.

The complete guide to SAP data archiving in 2026

April 2026 · 15 min read

If your SAP ECC database has been growing unchecked, you are not alone. 20–40% more data every year. Ballooning HANA costs, sluggish performance, painful migrations, and compliance headaches.

Why it matters now

Migration speed. Archiving before S/4HANA reduces timelines. Cost. Every TB saves ~£35K/year. Compliance. GDPR demands provable retention. Legacy. 5–15 systems costing 60–80% too much.

The SAP toolkit

SARA cockpit. Write, delete, store, post-process. 1,500+ objects. ILM adds retention via IRMPOL, blocking, destruction worklist, direct deletion, simplified blocking.

OpenText ecosystem

xECM workspaces. VIM invoice automation. ADA audit-proof storage. Core Archive for RISE. Documentum for regulated industries.

Legacy decommissioning

Data Services, LT, CDE extraction. ADK conversion. ILM Retention Warehouse. Non-SAP data mapped before conversion.

AI automation

Assessment in hours. Intelligent variants. Predictive compliance. Orchestrated execution with error recovery. Humans drive strategy — AI handles execution.

About Archon Data

We built this company because we got tired of watching the same work done the same slow way.

I have spent over fifteen years in the global SAP marketplace. I have sat across the table from CIOs at FTSE 250 manufacturers, run archiving workshops with Basis teams who were drowning in a 6TB database they could not control, and scoped decommissioning programmes for organisations that were paying seven figures a year to keep legacy systems alive because nobody knew how to switch them off safely.

Every engagement followed the same pattern. Fly in a consultant. Spend two weeks running TAANA, pulling DB02 statistics, cross-referencing DB15 for table-to-object mappings, tracing dependency chains between archiving objects, building a spreadsheet, presenting it to the steering committee. Then do the actual work. It is thorough. It works. And it takes far longer than it should, because the assessment phase is fundamentally repetitive — the same analysis, the same logic, the same output structure, every single time.

So I built the technology to automate it. Archon Data exists because AI can do in hours what used to take weeks — and free consultants to focus on the work that actually requires human judgement: understanding your business requirements, defining retention policies with legal and compliance, managing organisational change, and making sure the project sticks after go-live.

We only do one thing

SAP data lifecycle management. Not ERP implementation. Not BI. Not custom ABAP development. Archiving, content management, decommissioning, and the compliance governance that holds it all together. Fifteen years of doing one thing means we have seen every edge case, every failed project, every shortcut that costs more later. That depth is what separates a specialist from a generalist who has archiving on page four of their capabilities deck.

We earn the engagement

Every conversation starts with a free AI assessment of your SAP landscape. No pitch, no NDAs before you have seen the data. The assessment shows you what is in your database, how much is archivable, what it costs you today, and what to do first — with specific objects, dependency sequences, and projected savings. If the numbers do not justify a project, I will tell you. I would rather you remember us as honest than as expensive.

Why this matters now

Over 30,000 enterprises need to move to S/4HANA before SAP ends ECC maintenance. Every one of those migrations is slower, riskier, and more expensive with an unmanaged database. HANA licensing is charged per terabyte. GDPR regulators are issuing record fines — £14M from the ICO in a single action, €530M from Ireland's DPC. Hyperscaler costs scale linearly with storage. The business case for archiving has never been clearer.

Yet most organisations still have not done it, because the projects feel too complex, too disruptive, too slow to start. That is the problem we solve. AI reduces the assessment from weeks to hours. Automation handles the scheduling, monitoring, and compliance reporting. Your team stays focused on running the business while we manage the data.

Technical credibility

We do not outsource the technical work. When your Basis team asks about WebDAV storage certification requirements for ILM, or your DPO needs to understand why simplified blocking handles master data differently from standard retention management blocking, or your migration architect wants to know whether the ILM file converter can bring pre-existing ADK archives under governance without re-archiving — we answer from direct experience. We know that archiving MM_EKKO before resolving open line items in EKPO creates referential integrity issues. We know that CDE stores master data in snapshot files, not ADK format, and why that distinction matters for Retention Warehouse queries. That is the kind of knowledge you get from years of hands-on delivery, and it is the knowledge we have embedded into our AI so it scales beyond any single consultant.

Start with the assessment

Whether you are months from a migration or years, the assessment costs nothing and gives you a clear picture of your data estate. Fifteen minutes to set up, a few hours to run, and you will have a report that most consultancies charge five figures to produce.
